Church Office Administrator (In office)
Reports to: Director for Operations & Outreach
Status: Part-time; 15-20 hours per week. Exempt.
  • In-office hours include Tuesday-Thursday from 9 am-2:00 pm and Friday from 9-12.

About You & Your Gifts
The Office Administrator coordinates and operates all church office functions, provides administrative support to the Lead Pastor and various ministry programs, and serves as the primary receptionist/welcome for church members and visitors.
Grace’s next Office Administrator will bring exceptional organizational skills, a sharp eye for detail, an ability to multitask in a fast-paced environment, and a welcoming, collaborative spirit to the role. The Office Administrator will join a healthy, dynamic staff team of 15 full and part-time colleagues.
Primary Areas of Focus
  • Administration – Primary point of contact for all visitors and phone calls. Maintain effective and efficient databases, recordkeeping, and membership information. Track office, custodial, liturgical, and general supplies, reordering as needed.
  • Communication & Publications —Coordinate administrative support volunteers and support worship volunteers as needed. Assist in compiling and creating the annual congregational and synodical reports.
  • Care & Hospitality – Support logistics and hospitality needs for church events. Receive and direct pastoral care inquiries/needs, honoring the highly confidential nature of such needs. Provide welcome and hospitality to ministry groups and wedding and funeral families as needed. (may include occasional Saturday or evening hours)
  • Facility Management – Coordinate and schedule facility and resource use for church and community activities.
  • Technology – Navigate role responsibilities with confident use of relevant computer technologies, including Microsoft Office Suite, Canva, Constant Contact, Zoom, and organizational databases (Grace currently uses Realm as our church database management platform).
Required Qualifications
  • Superior organizational skills and ability to manage multiple projects simultaneously.
  • Exceptional skill in office procedures and use of appropriate technologies.
  • Excellent communication skills, tact, and empathy.
  • Ability to operate with highly confidential information.
  • Ability and willingness to uphold the teaching and practices of the Evangelical Lutheran Church in America and a Reconciling in Christ congregation.
Preferred Additional Qualifications
  • Bachelor’s or Associate’s Degree in a relevant field (i.e., Business Administration, Communications, Information Systems).
  • Relevant work experience, ideally in a church setting.
  • Creativity, flexibility, and a sense of humor!
Physical Demands:
While performing the duties of this job, the Office Administrator must be able to transport materials and equipment (up to 30 pounds) to and from various locations. The Office Administrator is regularly required to sit for extended periods, use hands in repetitive motion tasks, handle objects, talk, and hear. Specific vision abilities required include close vision, depth perception, and the ability to adjust focus.
Working Conditions:
The Office Administrator must be physically present in the office to complete tasks and be available to work outside of regular business hours as required. The Office Administrator will work at a desk in a semi-private area adjacent to the offices of the Lead Pastor and three other ministry staff. The Office Administrator must be able to work cooperatively with other staff members and volunteers.
