Accounting/Administrative Assistant

Job Type: Part-time 20 hours/Week

The Accounting/Administrative Assistant primary role is assisting in the day-to day financial management of The LeaderShop. The Accounting/Administrative Assistant will be assisting in the functions of accounts payable, payroll processing, benefit coordination, accounts receivable, bank reconciliations, journal entries, annual 1099 & 990 process, annual budget preparation and annual year end close out. Moreover, the Accounting/Administrative Assistant works directly with supervisor(s) to provide timely and relevant communications prior to Finance and Board of Director meetings. A secondary role of the Accounting/Administrative Assistant is to provide direct support to the Development Department.

Primary Responsibilities:

  • Manage QuickBooks
  • Adhere to all financial reporting guidelines; make recommendations for process improvements when necessary/appropriate to ensure proper internal controls are in place.
  • Ensure timely processing of accounts receivables (AR) and accounts payable (AP) including but not limited to: invoicing, bank deposits, EFTS, grant checks, and monthly payment of bills.
  • Develop and provide financial reports for board, staff, and funders as requested by the Executive Director.
  • Assist in reviewing /retaining all contracts and invoices in order to properly record AR and AP transactions in a timely manner.
  • Provide administrative support as directed by the Executive Director.
  • Work with Development Department to ensure donor tax receipt and acknowledgment letters are completed.
  • Work with Development Department to ensure in-kind and monetary donations are properly tracked and recorded.
  • Maintain organized financials for audit preparation.
  • Participate in and attend all organizational fund raising events.
  • Perform other duties as assigned.

Environmental and Physical Requirements

  • Must pass criminal background check
  • Ability to bend, squat, climb stairs and lift frequently. Ability to lift up to 25 pounds occasionally
  • Standing/walking 10% of the time, sitting 90% of the time,
  • Must be fully vaccinated against COVID-19

Education:

  • Bachelor's degree in accounting or a finance-related field.
  • Non-Profit Accounting experience a plus

Pay: $20.00 - $23.00 per hour

License/Certification:
